Turn a school flyer into calendar events
Turn a school flyer into calendar events by sending a photo or a PDF, then approving the dates yourself. HouseChief reads the flyer and proposes events in the Inbox. Nothing goes on the family calendar until a parent taps Approve. A blurry photo can miss a line, so the original stays with the proposal.
A flyer is a calendar that never got typed
Picture day, the book fair and the early-release Friday often show up on paper, folded into a backpack, or as a PDF attached to a short email. The date is real. It is just not on the calendar the other parent checks. Retyping it at 9 p.m. is how it gets lost.
The habit is to capture the page once, let the dates come back as proposals, and keep the ones your family will actually attend. The email version of this, for a newsletter that is already in your mail, is get school emails onto your calendar.
From the flyer to the calendar
You can start from the paper in your hand or from a PDF you already saved.
Photograph the flyer, or save the PDF
Lay the page flat and get the whole sheet in the frame, including the date line at the bottom. A PDF from the school works as the file it already is.
Send it to HouseChief
Use quick add while you are signed in, and attach up to three photos or PDFs. Or forward an email with the flyer from the parent's own address to your family's HouseChief address, shown in Settings under Forward emails.
Open the Inbox
HouseChief proposes events and to-dos from what you sent. You get a push. Kids never see the Inbox. Nothing is on the calendar yet.
Check the proposal against the flyer
Untick a program you will skip, fix a time that was read wrong, and delete a duplicate of a date you already subscribed to from the school calendar. The original file stays with the proposal.
Tap Approve
Approved events go on the family calendar and are copied to the calendar you chose: your default, one Google, iCloud or Outlook calendar, every synced calendar, or HouseChief only. Approved to-dos go on your list.
What this does not do
If you do not connect a mail account, the flyer reaches HouseChief only when a parent sends it. The school cannot email the family address itself. Kids cannot send to the family address either.
A photo meant for the kitchen photo frame is a different path. Pictures for the wall display use a photos address or a subject that starts with Photos or Wall. Those pictures are not turned into calendar events. The email to calendar page separates the two.
If the photo is dark or cropped, assume a date was missed. Glance at the paper before you approve.
After you approve
The event uses the parent's default calendar unless you pick another on the card. You can change that later and the copy moves. A school or team calendar you subscribed to stays read-only, so the flyer event does not write back to the district. More on that split is in two-way calendar sync.
Jordan finds Maya's program flyer on Friday, sends the photo, and approves the evening performance. Sam sees it on the family calendar and on the connected phone calendar. The FAQ has the short version of the forward-and-approve step.
Questions
How do I turn a paper flyer into a calendar event?
Take a photo or save a PDF, send it with quick add or by forwarding it from a parent's email, and review the dates in the Inbox. Tap Approve for the ones you want. Nothing is added before that. A blurry photo can miss a line, so check the original.
Will the school be able to send flyers straight to HouseChief?
No. Only a parent's own address is accepted, and the message has to pass the usual email checks. Ask the school to keep sending you the flyer, then forward the ones you want on the calendar.
What if we already subscribe to the school calendar?
Keep the subscription for the dates the school publishes as a feed. Use the flyer for the dates that were only on paper. Drop any proposal that duplicates a date you already have.
