Forward school emails to your family calendar

With HouseChief, forward a school email or flyer to your family's HouseChief address. The dates appear in your Inbox as proposed events. A parent taps Approve, and the event syncs to Google Calendar, iCloud or Outlook. Nothing is added without approval.

Why school email gets lost

School dates rarely arrive as calendar invites. They arrive as a Thursday newsletter, a coach's reply-all, a PDF permission slip, or a paper flyer that lives in a backpack until Friday. The email is read, the date is understood, and then it stays in the mail, where the other parent cannot see it.

That is a routing problem. A date that only one parent saw is not on the family calendar yet. The fix is to turn the email into a proposed event, review it once, and let the calendar carry it. The longer weekly routine (filters, a Sunday pass, subscribing to the school calendar) is in how to get school emails onto the family calendar. This page is the forward-and-approve step.

Forward a school email and approve it

You only do the first step once. After that, forwarding is the habit.

  1. Find your family address

In Settings, open Forward emails. Your family has an address like parker@email.housechief.app. Save it in your contacts so forwarding is two taps.

  2. Forward the email, or a photo of the flyer

Forward the newsletter, the sign-up, or the coach's note from the email address on your parent account. A paper flyer can go as a photo in that same email, or through quick add in the app (a photo or a PDF, up to three at a time).

  3. Open the Inbox

HouseChief reads what you sent and proposes events and to-dos. You get a push. Nothing is on the calendar yet. Kids never see the Inbox.

  4. Edit or drop what you do not need

Untick a book fair you will skip, fix a time it misread, or delete a duplicate. A blurry flyer or a vague newsletter can miss a date, which is why a parent reviews it.

  5. Tap Approve

Approved events go on the family calendar and are copied to the calendar you chose (your default, one Google, iCloud or Outlook calendar, every synced calendar, or HouseChief only). Approved to-dos go on your list.

What the Inbox shows

A forwarded fall newsletter might propose picture day, an early-release Friday, and a to-do for the field-trip form. Each one is a card you can approve on its own. The original email stays with the proposal so you can check the wording.

Attached pictures and PDFs are read with the email (up to three files). Pictures meant for the photo album are a different address: add +photos before the @, or use a subject that starts with Photos or Wall. Those pictures go on the wall display. They are not turned into calendar events. The email to calendar page has both paths.

What syncs to Google, iCloud and Outlook

Approve does not spray the event onto every calendar you have ever owned. Each parent connects their own Google Calendar, iCloud or Outlook. New events, including ones from forwarded email, use that parent's default calendar unless you pick another on the card. You can change the calendar later, and the copy moves.

Personal Outlook accounts work, and so do most Microsoft 365 work or school accounts. Some workplaces have to approve HouseChief first, and some do not allow family events on a work calendar. If that is you, copy family events to a personal calendar. The setup, and the difference between two-way sync and a one-way subscription, is in two-way calendar sync for families.

Only a parent's own email address can send to the family address, and the message has to pass standard email checks (SPF and DKIM). The school cannot email HouseChief directly, and a guessed address cannot fill the Inbox. If you do not connect a mail account, email reaches HouseChief only when a parent forwards it.

A short example

Sam forwards Maya's school newsletter on Sunday night. The Inbox has picture day, the book fair, and a to-do for the permission slip. Sam approves picture day, drops the book fair, and fixes the slip's due date. Jordan sees picture day on the family calendar and on the connected phone calendar. The flyer photo Sam attached was part of the proposal, not a post on the wall.

Questions

Can I forward school emails to HouseChief?

Yes. Every family has its own HouseChief address in Settings under Forward emails. Forward the email from a parent's address and the dates show up in the Inbox as proposals. Tap Approve and they go on the calendar. Nothing is added before that. More detail is on this page and in the FAQ.

What if the flyer is on paper?

Take a photo or save a PDF and send it with the forward, or use quick add in the app. HouseChief proposes the dates the same way. Review them before you approve. A blurry photo can miss a line, so glance at the original.

Will the school be able to email us there directly?

No. Mail is accepted only from a parent's own address, and only when it passes the usual email authentication checks. Ask the school to keep emailing you, then forward the notes you want on the calendar. Kids cannot send to the address either.
